Without Samba

Tonight’s table is booked — the allergy is in someone’s inbox.

One guest emailed about a nut allergy — was that this Saturday or next? The restaurant needs final numbers and diets by noon, so once again the morning goes to scrolling an inbox instead of running the business.

Departures

Every seating, filled and closed on time

  • Several tastings a day, from one rule. A real recurring schedule keeps your 11am, 3pm and 6pm slots generated months ahead, automatically.
  • Small groups, protected. Per-slot capacity with oversell-proof seat holds, so an intimate 10-seat tasting stays a 10-seat tasting.
  • Cutoffs that match your kitchen. Stop bookings when the shopping is done, and set a minimum group size for slots worth running.

Manifests

Dietary needs, collected without asking twice

  • Ask automatically after booking. Dietary preferences, allergies, and anything else you need — collected from each guest by Samba.
  • A manifest your chef can cook from. Every slot’s guest list with diets and notes beside each name, printable for the venues you visit.
  • Your own questions. Wine preferences, spice tolerance, mobility needs — build any question into the flow once and reuse it on every tour.

Your guides, your schedule

  • Assign a guide to every slot. Roster and availability in Samba, so the Tuesday guide never gets Saturday’s group by accident.

Fill every tasting, collect every allergy, and walk in knowing exactly who is at the table — while bookings come in from your site, GetYourGuide, and Viator around the clock.

Frequently asked questions

Does Samba manage seat and table capacity per tasting, not just a headcount?

Yes. Seats per tasting and the minimum group size for a slot to run are set per departure, not guessed at. When a 10-seat tasting is full, Samba stops selling it — it won’t overbook a table your kitchen isn’t staffed for.

Can I take a deposit for a cooking class or multi-stop food tour and collect the rest later?

Yes. Set a deposit and an installment schedule, and Samba handles the rest — automatic reminders, retries on failed cards, and a self-service portal where guests can pay their balance without emailing you.

Do my GetYourGuide bookings show up in the same schedule as direct bookings?

Yes. Channel bookings land in the same manifest as bookings from your own site — same finances, same seat count, same allergy and dietary notes. No separate spreadsheet, no extranet juggling to see who’s actually at tonight’s table.

What does Samba cost for a small food and wine tour business?

$0 a month, no setup fees, no contracts. The first $10,000 in bookings is free; after that it’s a flat 2% per booking, which you can absorb or pass to guests. Stripe processing is billed separately by Stripe.

How is this different from FareHarbor or Peek Pro for a food or wine tour operator?

FareHarbor and Peek Pro have more OTA reach if resellers drive most of your bookings — that’s a real reason to stay on either one. Samba is built for operators who sell direct: a flat, published fee instead of an unpublished percentage, and deposits and installment plans built into the free plan. If OTA volume is most of your business, weigh the trade-off honestly; if you’re trying to keep more of what you sell direct, that’s exactly what Samba is for.
