See your Samba departures in Google Calendar, Apple Calendar or Outlook

The Samba calendar feed puts every departure in the calendar app you already use, with seats booked and who is coming. Subscribe once from Google Calendar, Apple Calendar or Outlook and the schedule keeps itself current. It is a one-way feed: you manage departures in Samba.

The schedule where you look

Departures sit next to your other events, on your phone and your laptop, without opening Samba.

Keeps itself current

New bookings show up when your calendar app refreshes, and canceled departures disappear.

Any calendar app

Google Calendar, Apple Calendar, Outlook, or any app that can subscribe to a calendar by URL.

What is in the feed?

Each departure is one event, from 30 days ago to 12 months ahead, at the time it starts. The event shows how many seats are booked out of the capacity, and every confirmed booking with the names of its participants. A guide checking tomorrow’s sunrise trip sees who is coming without logging in to anything.

Canceled departures disappear from the feed, so a guide’s calendar never shows a trip that is not running.

Who uses it?

Guides who want next week on their phone next to everything else. An office manager planning staff around the busy days. An owner on the road who checks the morning’s departures before the first call. A day-tour company sees each run as its own event; a multi-day operator sees each trip on its start date, with the full traveler list to check against rooming and transfers.

How is it different from the departures calendar in Samba?

The departures calendar in Samba is where you work: open a departure, change its capacity, message its travelers, check who has paid. The feed is the same schedule, read-only, in the app your team already opens all day. Use Samba to change things, and the feed so nobody has to log in just to see what is coming up.

How fresh is it?

Your calendar app decides how often it checks the feed. Google Calendar can take up to a day to pick up a change. Apple Calendar and Outlook let you choose how often to refresh. For a booking that came in a minute ago, Samba is always the live source; the calendar is the schedule at a glance.

Why is it one-way?

The feed sends departures out of Samba. Moving or deleting an event in your calendar app changes nothing in Samba, so a guide tidying their phone cannot cancel a departure or lose a booking. To change a time or a capacity, change it in Samba and the feed follows.

Who can see it?

The feed URL is secret: anyone who has it can see your departures and your participants’ names. Share it with your team, not on your website. If it leaks, regenerate it under Settings → Calendar feed. The old link stops working immediately, and everyone subscribed needs the new one.

Team members who can see both departures and participants can see the link. Only people who can edit workspace settings can regenerate it.

How connecting works

Nothing to install. Copy one link from Samba and subscribe to it.

  1. 1

    Copy your feed link

In Samba, go to Settings → Calendar feed and copy the link.

  2. 2

    Add it to your calendar

One click for Google Calendar. In Apple Calendar or Outlook, subscribe by URL and paste the link.

  3. 3

    Share it with your team

Send the link to your guides and staff. It shows participant names, so keep it within the team.

Frequently asked questions

Does it work with Google Calendar?

Yes. Open Settings → Calendar feed in Samba and click Add to Google Calendar, or paste the feed URL into Google Calendar’s “From URL” option.

Does it work with Apple Calendar and Outlook?

Yes. Add a calendar “from URL” or “by subscription” and paste the feed URL.

If I move an event in my calendar, does Samba change?

No. The feed is one-way. Change departures in Samba and the feed follows.

How quickly do new bookings show up?

When your calendar app next refreshes the feed. Google Calendar can take up to a day; Apple Calendar and Outlook let you set how often it refreshes.

Can I give each guide only their own departures?

Not with the feed: it lists every departure in the workspace. Share it with the people who should see the whole schedule.

Do unconfirmed bookings show up?

No. Each event lists confirmed bookings and their participants. Booking requests you have not accepted yet stay in Samba.

How does my whole team get it?

Each person subscribes to the same link in their own calendar app. Everyone sees the same schedule, and nobody shares a login.

What happens when a departure is canceled?

It disappears from the feed the next time your calendar app refreshes it.

Does it cost extra?

No. The calendar feed is included in every Samba workspace.
